Dynamics 365 Implementation FAQ

Answers to the most common questions about implementing Dynamics 365. From timeline and cost to training and integration.

How long does a Dynamics 365 implementation typically take?

For most UK SMBs, a Dynamics 365 implementation takes 8-16 weeks from discovery to go-live. This typically breaks down as: 2-3 weeks discovery, 4-6 weeks solution design and build, 2-4 weeks testing and refinement, and 2-3 weeks training and go-live. We favour phased implementations where you see measurable value every 4-6 weeks rather than waiting months for a single big-bang launch.

What does Dynamics 365 implementation cost?

Costs vary based on complexity, but typically: Licensing starts at £35-£80 per user per month. Implementation fees for a typical SMB (50-100 users) range from £40,000-£100,000 depending on customisation requirements. Training and change management add £5,000-£15,000. Professional services (ALM, ongoing support) are typically £3,000-£8,000 per month. We always provide a fixed-price proposal for specific phases so there are no surprises.

Will Dynamics 365 disrupt our current operations?

Not if implemented properly. We design phased rollouts where you can run old and new systems in parallel during transition periods. We focus on quick-win phases that deliver value within 4-6 weeks, so your team sees benefits early and adoption is higher. We also dedicate resources to change management and training to ensure your teams are confident before cutover.

Do we need to migrate our existing data?

Yes, but we make it manageable. We assess your data quality upfront, clean and deduplicate records, then migrate in phases aligned to your rollout schedule. We provide tools and automation to minimise manual data entry. For most organisations, data migration takes 2-4 weeks including validation and testing. We always run parallel periods so you can verify data accuracy before fully switching over.

What if our current system has customisations?

We evaluate every customisation to determine if it's still needed or if Dynamics 365's built-in capabilities replace it. We keep valuable customisations and rebuild them using Power Platform (Power Apps, Power Automate) or Dynamics 365 configuration. Legacy customisations that no longer add value are retired. This typically reduces your technical debt and long-term support costs.

How much training do our teams need?

It varies by role, but typically: End users need 4-8 hours of hands-on training focused on their specific workflows. Administrators need 2-3 days of technical training. Power Users (super-users) need 3-5 days. We provide instructor-led training, recorded sessions, and knowledge base articles so your teams can learn at their own pace. Ongoing support (Office hours, help desk) continues for 90 days post-launch.

What about integrations with our other systems?

We assess all your systems (accounting, HR, e-commerce, etc.) and design integrations using Power Automate, Azure Logic Apps, or API connections. Most integrations are configured (not custom-built), so they're faster and cheaper to maintain. We prioritise integrations based on business impact—usually 3-5 critical ones at launch, with additional integrations post-go-live.

What if we want to expand Dynamics 365 later?

That's the beauty of the platform. Dynamics 365 scales from Sales to full ERP (Finance, Supply Chain, HR, Field Service, etc.). We build with modular architecture so adding modules later is straightforward. Many of our clients start with Sales or Customer Service, then add Finance or Field Service within 6-12 months. Your investment in training and data governance compounds over time.

How do we measure success after go-live?

We establish KPIs before implementation: order processing time, quote-to-cash cycle, user adoption rate, time to value, ROI. We track these with Power BI dashboards that give you real-time visibility. We typically see: 60-75% adoption by week 4, measurable business outcomes (time savings, cost reduction) within 12 weeks, and full ROI within 18-24 months.

What happens after go-live—do you stick around?

Yes. We include 90 days of post-launch support (office hours, bug fixes, optimisation). After that, you can engage us for: Managed Services (proactive monitoring and optimisation), hourly support, or annual support plans. Many clients transition to self-service with our knowledge base and periodic check-ins. We're here for the long term—your success with Dynamics 365 is our success.

Can we integrate Dynamics 365 with Microsoft 365?

Absolutely—that's one of Dynamics 365's biggest advantages. We configure: Teams integration for collaboration on sales deals, opportunities, and customer service cases. Excel integration for data analysis and bulk operations. Outlook integration for email tracking and calendar management. Power BI for real-time dashboards and insights. Copilot AI for intelligent assistance within Dynamics 365. These integrations are native and included with your Microsoft 365 licences.

What about security and compliance?

Dynamics 365 is built on Azure and includes enterprise-grade security: Role-based access control (RBAC) with granular field-level permissions. Data encryption at rest and in transit. Multi-factor authentication (MFA). GDPR compliance and UK data residency options. Audit logs for complete traceability. We help you configure security policies and compliance settings aligned to your requirements.
